3CX Partner

A phone system that works wherever your people are.

3CX replaces the box in the cupboard with software. Your staff take calls at the desk, in the cab or at the kitchen table, on the same business number, and you change how it all works yourself instead of booking a service call.

Robertson Technology Group is a 3CX Partner

We are a 3CX partner, so the system is sold, installed and supported by the same team you already call.

What it means in practice

Six things that change on the day you switch.

One number, anywhere

  • Desk phone, laptop or mobile app, same extension
  • Staff working from home are on the business line
  • Nobody hands out a personal mobile number again

You change it yourself

  • Add a person, move an extension, in minutes
  • Change the after-hours greeting from your phone
  • No service call, no waiting, no invoice for a small change

Costs that stop surprising you

  • Licensed by system size rather than per person
  • Calls over the internet, so line rental usually drops
  • One predictable figure rather than a variable phone bill

Calls that get answered

  • Ring groups, so a call finds whoever is free
  • Simple hunt and queue rules you can actually follow
  • Voicemail that arrives as email, and gets dealt with

It keeps working

  • Failover to mobiles if the office loses internet
  • Nothing to fail in a cupboard
  • Moving office no longer means re-doing the phones

You can see what happens

  • Who called, who answered, what got missed
  • Call recording where your business needs it
  • Reports that answer whether you need another person

What is new

The AI additions, in plain terms.

3CX has added a set of AI features. Some are genuinely useful for a small business, some are not worth the bother yet, and we will be straight with you about which is which.

An AI receptionist

It can answer, ask what the caller needs, and put them through to the right person. It knows your team by name, checks whether somebody is busy before transferring, and hands off to a human whenever the caller wants one.

Worth knowing: it runs on your own OpenAI account, so there is a usage cost and a decision to make about what it hears. We will walk you through both.

Spam and nuisance call filtering

It recognises the calls that are wasting your reception’s morning and deals with them before a person has to. It also picks up abusive callers and handles them without somebody having to absorb it.

Call transcription and summaries

Calls can be transcribed, split by speaker, and summarised, with a read on how the conversation went. Useful where somebody needs to know what was agreed without listening to twenty minutes of recording.

Worth knowing: this can run entirely on hardware in your own office rather than in anybody’s cloud, which matters for some businesses more than others.

Call screening for whoever needs it

3CX calls it Boss and Secretary. All calls to one person get screened first, by a human or by the AI, with a personal list of people who go straight through. It respects your office hours and holidays, and toggles off from the app.

The AI features depend on which 3CX licence you are on and, in some cases, on hardware. Rather than list editions here, we will tell you what your business would actually need once we know what you are trying to solve.

Why buy it through us

Phones are the other thing that should just work.

A phone system bought from a telecoms company and supported by nobody in particular is how businesses end up with a greeting recorded by somebody who left in 2019 and nobody able to change it.

We specify it, install it, support it, and change it when your business changes. Same number to call as everything else we look after, and nobody gets to say it is a network issue.

  • Specified for how you actually take calls
  • Installed and configured, not shipped
  • Changes handled, not quoted
  • One number for phones and everything else

Questions

What people ask before they switch.

Can we keep our existing numbers?

Yes, in almost every case. Numbers port across and the switch is scheduled so there is no window where somebody calls you and gets nothing.

Do we need new phones?

Not always. Many existing handsets work, and plenty of businesses find their staff stop using desk phones once the app is on their laptop and mobile. We will tell you honestly whether yours are worth keeping.

What happens if the internet goes down?

Calls fail over to mobiles, so you are reachable while the connection is being fixed. Setting that up properly is part of the install rather than an extra.

Is the AI receptionist right for us?

Sometimes. It suits a business fielding the same few questions all day. It does not suit one where most callers need a real conversation, and in that case we will say so rather than sell it to you.

Can we record calls?

Yes, and there are rules about telling people. We set it up to meet them rather than leaving you to find out afterwards.

How long does a switch take?

Usually a couple of weeks, most of which is waiting for numbers to port rather than anything technical. You keep using your current phones until the day it moves.

Let’s look at how your calls actually flow.

Half an hour, no charge, no salesperson. We will tell you if your current setup is fine.

Would rather write?

Send this and we will reply, usually the same business day. No call unless you want one.
